Duties and Responsibilities

• Oversee the financial operations of the organization and ensure timely and accurate financial reports and practices including cash management, payroll, financial disbursements, ledgers etc.
• Process payments by preparing payment vouchers and posting them in cash book.
• Ensure organization control systems of cheques, approval, etc to be completed payment, adjustment or receipt of funds is made
• Post transactions in the general ledger, and maintain subsidiary ledgers.
• Hold and maintain petty cash imprest of the organization and ensure timely retirement of the same with proper supporting documents.
• Prepare accurate donor financial reports and administrative reports timely
• Monitor all projects expenditures and provide quarterly/budget implementation reports
• Maintain office filling system Prepare and maintain donor agreements and staff contracts, timesheets.
• Monitor the expenditures to ensure that program funds are utilized appropriately by the close of the fiscal year.
• Provide orientation and training to the organization staff on cost-effective management.
• Ensure that all financial reporting is completed on time and submitted to donors.
• Oversee the financial audits of all projects of the organization.
• Provide financial inputs for proposal development, project management, Human Resource Management policies, logistics, travel and other areas of administration.
• Develop/institutionalize strong internal control mechanism (financial and administrative systems) in compliance with policies and procedures for the organization.
• Carrying out frequent data backups and manage inventory and fixed asset records.
• Oversee compliance of all obligations (e.g. returns for government, agreements, contracts, permits and licenses necessary for FORUMCC’s operations).
• Ensure that archives are in use and maintained according to the FORUMCC’s regulations.
• Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
• Ensuring the confidentiality and security of files and filing systems.
• Coordinating schedules, arranging meetings and ensuring staff are kept current of necessary information.
